1. Scope of this policy
This policy explains how Dotplan Pty Ltd collects, uses, stores and manages personal information provided through the Dotplan public website and related enquiry communications.
It applies to the Quick Enquiry and Project Brief pathways and to information you provide when communicating with us about an enquiry. The Service Selector does not itself collect your personal information; it only helps carry selected service context into an enquiry pathway.
2. Information we collect
Depending on how you contact us, we may collect:
- your name, work email address, phone number and company;
- your preferred contact time;
- the type of enquiry, requested service and preferred timing;
- project, workload and engagement context you provide;
- your project brief or other enquiry details; and
- source and technical information used to receive, validate and protect an enquiry, including the source page, entry point, submission identifier, receipt time and form-completion signals.
Our hosting and security providers may also process standard request information needed to deliver and protect the website, such as an IP address, browser or device details, pages requested and request times.
Please do not include sensitive personal information or unnecessary personal details in a project brief.
3. How we collect and use information
We collect information directly from you when you submit a Quick Enquiry or Project Brief, or when you communicate with us about an enquiry. We use it to:
- receive, assess and respond to your enquiry;
- understand the services and project context you want to discuss;
- arrange appropriate follow-up discussions;
- maintain intake records and perform related administration; and
- operate, protect and troubleshoot the website and intake process.
Submitting an enquiry is not a subscription to a newsletter or a general marketing list. We do not treat it as consent to unrelated promotional email, and we do not currently offer a marketing opt-in through these forms.
5. Website analytics and cookies
The current public website does not send website analytics events to a third-party analytics or advertising provider and does not use advertising pixels. Necessary hosting, security and application functions may use technical storage or request information required to operate the service. If non-essential analytics or marketing tools are introduced later, this policy and any required choices will be updated.
6. Security
We use reasonable technical and organisational measures designed to protect personal information against loss, misuse and unauthorised access, modification or disclosure. No internet transmission or storage system can be guaranteed to be completely secure.
7. Retention
Public website enquiry intake records are retained for 24 months from the date the enquiry is received or created, then reviewed for secure deletion or de-identification where the information is no longer required.
If an enquiry later becomes part of a business relationship, records created for that relationship may be retained separately for relevant business, contractual or legal purposes. Those downstream records are not governed solely by the public website intake period.
8. Access, correction and privacy concerns
You may contact us to ask what personal information we hold about you, request access or correction, ask whether information can be deleted, or raise a privacy concern or complaint. We may need to verify your identity before acting on a request and may be unable to delete information that must be retained for a lawful reason.

9. Changes to this policy
We may update this policy when our website, enquiry process or information-handling practices change. The date above shows when this version was last updated.
